Data Protection Policy for the Use of the Collaboration Tool Confluence

In addition to Münster University's general data protection policy, the following applies to the use of the collaboration tool Confluence:

1. Scope of Data Processing

Within the scope of using the collaboration tool Confluence we process the following data from you:

  1. first name and surname
  2. user ID
  3. e-mail address
  4. first login time
  5. last login time

2. Purpose of Data Processing

The purpose of processing your personal data mentioned above is to provide you with access to areas or pages in Confluence. You will receive e-mail notifications generated from Confluence, e.g. when you are mentioned on a page. If you have entered information (e.g. telephone number, other contact details, position, department and location within Münster University, photo) in the "Profile" section, other users can view this data there in order to contact you.

3. Legal Basis for Processing Personal Data

Insofar as we obtain your consent for processing of personal data, Art. 6 para. 1 lit. a GDPR serves as the legal basis for the processing of personal data.

Insofar as the processing is necessary for the performance of a contract to which you are a party, or is required for the implementation of pre-contractual measures taken at your request, Art. 6 para. 1 lit. b GDPR serves as the legal basis for the processing of personal data.

Insofar as the processing of personal data is necessary to fulfil a legal obligation to which Münster University is subject, Art. 6 para. 1 lit. c GDPR serves as the legal basis.

In the event that vital interests of you or another natural person make it necessary to process personal data, Art. 6 para. 1 lit. d GDPR serves as the legal basis.

If the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in Münster University, Art. 6 para. 1 lit. e GDPR serves as the legal basis for the processing. If the processing is necessary to safeguard a legitimate interest of Münster University or a third party and your interests, fundamental rights and freedoms do not outweigh the interest of Münster University, Art. 6 para. 1 lit. f GDPR serves as the legal basis for the processing. This does not apply if Münster University acts as a public authority in the processing in question.

4. Duration of Storage of Personal Data

If a member leaves Münster University, the Confluence account is only deactivated and personal data is only partially removed. Name and created content will be retained.

If, on leaving Münster University, a participant has an explicit wish to have his or her data removed from the system, this is possible.
