General Terms & Conditions (Confluence)

1. User Group

The service is exclusively available to employees and, upon separate request, other members and affiliates of the University of Münster and external partners, and may only be used for purposes directly related to work at the University of Münster. A University of Münster Confluence area can only be requested for a department/project/working group for which the applicant is authorized to act on behalf of. 

2. Access

Employees do not need to submit an application to gain access to Confluence.
Access requests from other groups of people as specified in (1) will be reviewed and approved by the Service-Desk (CIT - Dept. 3) upon request.
This access will be granted for a maximum of one year and can be extended thereafter.

3. Legal Basis for the Processing of Personal Data

The application for a Confluence space for a department, a group of employees or a project team is made informally by e-mail to the service desk (it.servicedesk@uni-muenster.de). The following information must be included in the e-mail:

  • the desired name of the Confluence space
  • an area abbreviation (3 or more characters, letters and/or numbers only) used in the URLs
  • a short description of the space
  • the responsible space administrator (the person who should manage the space and assign rights)

The Confluence space will be set up after receipt and examination of the application. The space administrator will receive an e-mail with the link to the new space. He or she can then assign users and groups to the space and grant usage rights. A prerequisite for assignment is that users have previously registered with Universität Münster-Confluence. Administrator rights should be reserved for the space administrator (and a deputy if applicable). The participating users (persons with editing rights), and especially the space administrator, are responsible for the content of the space. They are obliged to comply with legal provisions, in particular those concerning copyright. Once the space has been created, no further action is taken by the WWU IT. However, the WWU IT is available to answer questions on the use of Confluence.

4. Security of Your Content

The accessibility of the content is regulated by the allocation of usage rights. An area is public (i.e. accessible without user registration) if the group "anonymous" is granted (at least) read permission. In principle, write permissions should never be granted to this group.

If content is to be accessible to all Münster University employees (i.e. all registered users), a corresponding authorisation can be set up for the "confluence-users" group. To restrict access rights to certain user groups, groups from the central user administration can be used.

5. Obligations of the User

In principle, the general IT User Regulations of Münster University and the legal provisions apply. This includes the prohibition of insulting, racist, discriminatory or pornographic content. In the event of a breach of these obligations, the WWU IT is entitled to modify or delete the corresponding contributions and to block access.

6. Archiving/Deleting a Space

The area administrator must inform the WWU IT if a space is no longer needed and can be archived/deleted. The WWU IT may archive spaces that have not been edited for more than 2 years. Archived spaces can only be found under the category "Archived Spaces" and will no longer be displayed in queries or dashboards or found by other searches.

7. Availability Restrictions

There is no claim to availability of the system. The usability may be limited, especially due to maintenance work. This usually takes place on Wednesdays between 6 and 9 a.m.

8. Disclaimer

The University of Münster shall only be liable in cases of intent and gross negligence on the part of its employees, representatives, organs, and vicarious agents, unless there has been a culpable breach of essential performance obligations (i.e., obligations whose fulfillment is essential for the proper execution of the contract and on whose compliance the authors and external users regularly rely and may rely), statutory mandatory strict liability (e.g., under the Product Liability Act), liability under a strict warranty, or liability for injury to life, limb, or health on the part of the University of Münster. In cases of material breaches of contractual obligations, liability shall be limited to the amount of foreseeable damage typical for this type of contract.

9. Final provisions

The University of Münster reserves the right to amend or supplement these general terms of use at any time. By continuing to use the service, the authorized user groups agree to any changes. The University of Münster will inform the authorized user groups (by email) of any changes.

The relationships between the authorized users in connection with the use of the service are subject to the laws of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods, subject to mandatory provisions of international private law.

Should individual provisions of these General Terms and Conditions of Use be or become invalid, this shall not affect the validity of the remaining provisions. The invalid provision shall be replaced by a substitute provision that corresponds to the purpose of the agreement and comes as close as possible to the meaning of the invalid provision. The same applies in the event that the General Terms and Conditions of Use prove to be incomplete or unenforceable.
