Data processing activities of the Student Complaints Office of the University of Münster

Scope of data processing

In order to carry out its activities, the Student Complaints Office processes the following personal data:
(1) Name
(2) Email address
(3) Information about your desired degree
(4) Semester
(5) Are you enrolled in a teaching degree programme?
(6) What faculty does your complaint concern?
(7) Information about your degree programme
(8) The subject of your complaint
(9) The matter of your complaint
(10) Your consent to having your sender data (name and email address) forwarded to third-party processor(s)
When the user submits a complaint via the designated complaint form, the Student Complaints Office asks the user to provide his/her real name and correct email address, as it would otherwise be difficult to process the complaint or contact the complainant in case of further queries. Whenever personal data is forwarded to third parties for the purpose of obtaining clarification or statements, the Student Complaints Office strives to protect the identity of the complainant as best as possible should he/she refuse to grant consent to having their sender data forwarded.

Purpose of processing

The personal data listed above is collected for the purpose of processing complaints submitted to the Student Complaints Office of the University of Münster.

Legal basis for processing personal data

Whenever the processing of personal data is required to ensure compliance with a legal regulation, to which the University of Münster is subject, or is necessary to enable the University to perform a task in the public interest, Art. 6 (1 c, e) GDPR serves as the legal basis for processing this data in conjunction with § 58 (1, 2, 3) Higher Education Act (HG). If the processing of your personal data is not required in this context, but you have provided your consent nonetheless to facilitate the processing of your complaint, your consent serves as the legal basis for processing your data.

Further recipients of your personal data

Depending on the matter of your complaint, your personal information collected by the Student Complaints Office is forwarded to the following recipients at the University of Münster with the request for further processing and a statement:

  • In facilities referred to in the complaint or which could contribute to clarifying the matter, selected data is forwarded to faculty members who are responsible for handling complaints.
  • This group comprises the respective complaint management contacts in the faculties (usually deans of studies, managing directors, others involved in the organisation of teaching and studies) and the central administrative bodies (usually directors, department heads etc.), as well as other individuals (e.g. instructors, non-academic staff) who could contribute to clarifying the matter further depending on the matter of the complaint.

These facilities may include:

  • the central administrative bodies of the University of Münster (e.g. Examinations Offices, the administration, Rectorate),
  • administrative units of the University of Münster (e.g. University Library (ULB) and Center for Information Technologie (CIT)),
  • faculties and institutes,
  • other facilities.

Duration of storage of personal data

All personal data collected in connection to the activities of the Student Complaints Office is erased after ten years from the date of the last entry.

 

Your rights as a data subject

In accordance with Art. 13 (2) GDPR, you have the right to information about your personal data processed by the University of Münster (Art. 15 GDPR), the right to rectification of personal data (Art. 16 GDPR), the right to erasure (Art. 17 GDPR), the right to restriction of processing (Art. 18 GDPR), the right to objection of processing (Art. 21 GDPR) and the right to withdrawal of consent (Art. 7 (3) GDPR).
