Registrations and deregistrations

  • Registration

Instructions for registration and much more in QISPOS can be found here.

Information on registration in the new campus management system SAP SLcM can be found here.

The central electronic registration and deregistration phase (via QISPOS or SAP SLcM) as well as the module final examinations organised by the Examinations Office I can be found in the category Deadlines & Dates.

Registrations in the electronic registration systems also include registration for courses.
Please note, however, that there are participant restrictions for individual courses in various subjects and therefore separate admission procedures (via LSF or notice boards).

Please pay attention to the information in the annotated course catalogues for the subjects and the corresponding notices!
After participating in the LSF selection process or other selection processes, separate registration via QISPOS or SAP SLcM is required.

If you still have registered courses from previous semesters listed in QISPOS or SAP SLcM, but have not passed or attended them, the courses must still be recorded by the lecturers during the current registration phase. Only then is it possible to re-register electronically for the respective examination number. Electronic registration is a prerequisite for participation in all study and examination achievements.

Information on possible attempts to improve grades can be found in the notes on the registration procedure, for the Bachelor's degree here and for the Master's degree here.

  • Deregistrations and withdrawals

Only during the electronic registration period can students register for or withdraw from examination-related courses in QISPOS or SAP SLcM without giving reasons. The registration and withdrawal periods will be announced centrally.

    Withdrawals

The examination regulations of the University of Münster state that students may withdraw from an examination for which they have registered for a “valid reason” if, after the expiry of the registration and deregistration period, it turns out that the student is unable to take the corresponding examination. The consequence of such a withdrawel for “valid reeason” is that the student is treated as if he/she had not registered for the examination in question. If, on the other hand, there is no “valid reason” for the withdrawal, the examination performance in question is deemed to be “insufficient” (5.0).

In order to ensure equal treatment of all students, the "valid reasons" that can be considered for withdrawal are listed below and their handling is explained.

"Valid reasons" for withdrawing from an examination are in particular:

    • Incapacity to take examinations due to illness (including health impairments during pregnancy).
    • Care or support of the spouse, the registered partner or a relative in a straight line (children, parents) or first-degree in-law, if they are in need of care or support.
    • Claiming of protection periods according to §§ 3, 4, 6 and 8 of the Maternity Protection Act and of periods of the Federal Child-Raising Benefit Act on parental leave
    • Death of close relatives
    • Change of degree programme / change of subject
    • Change of place of study
    • Overlapping examination dates (less than 2 hours break between two exams)
    • Reasons that can be summarised under the generic term "force majeure" (e.g. unpredicted weather conditions, prolonged traffic jam after accident, etc.)

An example of an invalid reason for withdrawing from an examination is inadequate preparation or a student's desire to take the exam in a future semester, which occurred after the registration and withdrawal deadline.

Withdrawal for "valid reason" can only be recognised if it is "immediately" (this means "without culpable hesitation", i.e. as soon as possible)

    a) notified and
    b) made credible at the responsible examination office.

In the case of incapacity to take examinations due to illness, the credible evidence must be submitted in the form of a medical certificate with signature as well as the deregistration form. The Examination Office has no access to a certificate of incapacity for work sent electronically to the health insurance company. Please ask your doctor to issue a certificate with a signature and stamp. You can, however, send a scanned copy to the Examinations Office.

The notification of the inability to take the examination is only made without culpable hesitation if the certificate with the deregistration form is either scanned and sent by email to the responsible administrative department, handed in by an authorised representative or sent by post (date of postmark) at the latest on the day after the default. A later submission or a later sending of the certificate must have been indicated by telephone. Otherwise, a later submission of certificates without prior telephone notice is only possible with proof that the delay was not culpable (longer hospital stay with unconsciousness, etc.). In your own interest, please ensure that the postmark is legible!

The certificate must have been issued on the day of the examination at the latest, with justified proof a maximum of one day after the missed examination. Certificates that subsequently show an inability to take an examination in the past cannot be recognised as a matter of principle.

Please note that the withdrawal is binding and cannot be subsequently corrected or withdrawn.

Further information on withdrawal deadlines can be found in the Notes & Dates section.

Final theses and transitions

  • Theses (registration, calculation of deadlines, submission, etc.)

    How do I register?
Since 20 April 2020, you can apply for admission and topic assignment for your thesis online. To do so, please either follow the procedure outlined in this guide or use this form. If your degree programme is already managed in SAP SLcM, you can only register your thesis in SAP SLcM using the corresponding app.

    When should I register?
You decide when to register. However, you should definitely consider when you want to complete your studies or when you need your degree certificate and plan ‘backwards’ from this date! When planning, also consider when you would like to complete the practical semester in the Master's programme.

    A calculation example:

You want to have completed your studies by 1 October and need your final documents (certificate and diploma) at that time. Based on this, you deduct the processing time for the thesis, the review time for the first and second examiners, and a period of two weeks (four weeks in the Master's vocational college) for the processing steps in the Examinations Office. With a processing time of four months and a review period of eight weeks, you would need to register for your thesis at the beginning of March if you plan to graduate at that time.

When does the processing time begin?
The processing time begins when your first examiner signs your thesis. In SAP, the processing period begins with your application.

Where can I find the necessary forms?
The registration forms can be found on our homepage under the heading ‘Forms’ in the menu bar.

On this form, the person who set the topic of the thesis, the module coordinator or the study coordinator certifies that the admission requirements set out in the examination regulations and module descriptions have been met. The topic of the thesis is usually set by the first examiner in German and English. Please remember that the first and second examiners must be authorised to conduct examinations. You are responsible for appointing the second examiner.

Once you have completed the form, you must register your thesis with the Examinations Office. We will then inform you in writing about the topic and the submission deadline. The title of the thesis must be used verbatim. The specified submission deadline is legally binding! Extensions must be requested by the last day of the processing period. Failure to meet the written submission deadline means that you have failed your ‘Bachelor's/Master's thesis’ examination.

Once you have completed your thesis, you must submit a bound copy (in the form of a glue binding) including a declaration of plagiarism. Please send the digital copy directly to your examiners by email from the end of May 2025. Please note the following information regarding the submission of your thesis.

When binding your thesis, we recommend that you avoid using any plastic, such as front and back covers. The number of copies required is specified in your examination regulations. For the purpose of plagiarism checks, please choose a file format that allows text to be copied, e.g. Open Office Writer, Word or certain PDF formats.

The thesis can be submitted during the specified office hours, by posting it in the deadline letterbox (Schlossplatz 2) or by sending it by post (addressed to the Examinations Office). If your submission date is outside of opening hours, you must send it by post or deposit it in the deadline letterbox at the University of Münster (Schlossplatz 2). In both cases, the submission must be addressed to the Examinations Office. It is not sufficient to deposit it in the internal post box. If sending by post, it is recommended that you choose “registered mail” as the shipping method and keep the proof of posting for documentation purposes. If you have your submission handled by an authorised representative, any failure on their part will be attributed to you. Submission is only possible with written authorisation.

The theses will be forwarded to the examiners exclusively by the Examinations Office.

As soon as both assessments are available, you will be notified in writing of the grades for your thesis.

    Provisional certificate

If the average grade(s) and a provisional transcript of records are explicitly required for an application, it is best to request this by e-mail.
Please allow approximately one week for the documents to be calculated and issued. Once they are ready, your administrator will inform you when you can collect them.

Please note that only fully completed modules are included in the calculation of the average grade. Documents can only be issued once per semester.

    BAföG certificates

Form 5 of the BAföG Office will be filled out by the respective specialist representative. You need a sealed performance printout of your QISPOS entries. If your course of study is already managed via SAP SLcM, you can create the overview yourself and do not need a seal from the Examination Office.

  • Final documents

You must apply for your final documents in writing. The form “Application for the issuance of final documents” is available from the Examinations Office or can be found under the heading Forms. To apply for final documents, please fill out the form completely. The form can be submitted in person, by post, by email or by dropping it in the letterbox of the Examinations Office of the respective department.

The preparation of your final documents can take up to two weeks. The time required for preparation is significantly influenced by who has to sign your documents. For example, a certificate that has to be sent by post for signing takes longer than one whose signatory is located in our building. Similarly, the time required to prepare the final documents is extended if the certificate has to be signed by several people who work at different locations or in different institutions, e.g. the University of Münster and the University of Applied Sciences. Neither we nor you can influence the duration of these transit times. This is also the case if you need your certificate particularly urgently. Please note that certificates for the Master of Education BK can take up to four weeks to be issued.

If the preparation of your certificate falls within the re-registration period of the Student Secretariat, but you have completed your studies and are only waiting for the final documents, you can already de-register. You do not need to be enrolled to have your final documents issued.

Important information for students studying to become teachers at vocational colleges Master of Education

Please provide proof of your practical work experience to the Examinations Office! This proof is necessary for the issuance of your final documents.

    Important information for Bachelor's students

The University of Münster offers BA students the opportunity to transfer to the Master of Education programme until 15 May or 15 November of the year. At this point, the new semester has already begun. If you intend to make use of the late transfer option, please note the following:

    • Certificate date: Your certificate will be dated on the day you took or submitted your last examination. If this day falls in the new semester, this semester will also be shown as the final semester on your certificate. As a result, the same semester that is your first semester in the Master of Education programme may also be counted as the final semester of your Bachelor's degree. This means that the last examination should have been taken by 30 September or 31 March at the latest. The examiners' assessment procedure is not taken into account.
    • Allocation procedure: If you transfer late, you will no longer be considered for the seminar place allocation procedure in many subjects. It is therefore possible that you will not be able to get a place in certain courses that are in high demand (seminars, laboratory practicals, etc.) in the first semester.

Recognition

  • Recognition

    Which achievements are recognised?
Equivalent study and examination achievements completed during a semester abroad, at other universities or at other comparable institutions can be recognised upon request.
Achievements from another degree programme or degree at the University of Münster can also be recognised.

    When should recognition be submitted?
Recognition should be submitted to the Examinations Office immediately after your stay abroad or change of university.
It is advisable to submit your application before or during the central registration period of each semester to avoid any registration problems due to missing requirements.
Recognition cannot be withdrawn and is therefore legally binding.

    How are credits recognised?
Before recognition, credits are checked by the person responsible within the department for comparability with courses at the University of Münster. If there is equivalence, your credits can be counted towards your studies in Münster.

    Who carries out the recognition?
Responsibility for recognition is regulated by the examination regulations. It usually lies with either the dean or the chair of the examination board and is carried out by the Examinations Office. Before a decision on recognition can be made, the subject representative or module coordinator must certify the equivalence of the credits. The application for recognition of credits is completed and signed by the representative. Please ensure that all fields are completed!

What documents are required by the Examinations Office?
For recognition, please submit the completed form in person with copies of your transcripts from the other university or institution.
No evidence is required for academic and examination achievements that were completed at the University of Münster within another degree programme and were administered via QISPOS or SAP SLcM.
