Integrating the University E-Mail Account in Outlook 2013

    1. Start Setting Up the E-Mail Account

    When you start Outlook for the first time, a wizard appears to set up your e-mail account. Start the setup with a click on "Next". (If you are already using Outlook with another account, you can restart the wizard by clicking File > Add Account.)

    Confirm with "Yes" that you want to set up an e-mail account and click "Next".

    You have the option to set up the account automatically or manually. Select "Manual configuration or additional server types" and click "Next".

    Now you have to select the e-mail service. Select "POP or IMAP" and click "Next". Then you have to decide whether you want to use POP3 or IMAP:

    • IMAP: E-mails remain stored on the server. This is useful if you use multiple devices to manage your e-mails. To continue with the installation, go to step 2.
    • POP3: E-mails are transferred from the e-mail server of Münster University to your device and are only available there. If you use several devices or want to leave your e-mails as a backup on the e-mail server, you should use IMAP. To continue with the installation, go to step 3.

    2. Configuration of the E-Mail Account with IMAP

    Now enter the following information:

    • Your name: First name Last name (sender name of outgoing e-mails)
    • E-mail address: Your university e-mail address (YourWWU-ID@uni-muenster.de)
    • Account type: IMAP
    • Incoming mail server: imap.uni-muenster.de
    • Outgoing mail server: secmail.uni-muenster.de
    • User name: Your WWU ID (may be set automatically)
    • Password: Your WWU password
    Then click on "Further settings".

    Enter the following information in the "Advanced" tab:

    • Incoming mail server (IMAP): 993
    • Encryption type: SSL
    • Outgoing mail server (SMTP): 587
    • Encryption type: TLS
    • Root folder path: Mail
    All other settings can be retained. Now switch to the "Outgoing mail server" tab.

    Under the tab "Outgoing mail server" activate the option that the outgoing mail server (SMTP) requires authentication. Close the advanced settings with "OK".

    To complete the account setup, click "Next". Depending on the setting, you can test the account settings by clicking on "Test account settings ...". If you cannot select this option, Outlook will do so automatically. Outlook will check your e-mails and send an e-mail to your own e-mail address. Close the report by clicking on "Close".

    3. Configuration of the E-Mail Account with POP3

    Now enter the following information:

    • Your name: First name Last name (sender name of outgoing e-mails)
    • E-mail address: Your university e-mail address (YourWWU-ID@uni-muenster.de)
    • Account type: POP3
    • Incoming mail server: pop.uni-muenster.de
    • Outgoing mail server (SMTP): secmail.uni-muenster.de
    • Username: Your WWU ID
    • Password: Your WWU password
    Then click on "Further settings".

    Enter the following information in the "Advanced" tab:

    • Incoming mail server (POP3): 995
    • Server requires an encrypted connection (SSL): Tick
    • Outgoing mail server (SMTP)r: 587
    • Connection type: TLS
    • Leave a copy of all messages on the server: Deselect (POP3 often has problems with this feature. If you want your e-mails to remain on the server, you should use IMAP.)
    Switch to the "Outgoing mail server" tab.

    In the tab "Outgoing mail server" activate the option "The outgoing mail server (SMTP) requires authentication". Then click on "OK".

    To complete the account setup, click "Next". Depending on the setting, you can test the account settings by clicking on "Test account settings ...". If you cannot select this option, Outlook will do so automatically. Outlook will check your e-mails and send an e-mail to your own e-mail address. Close the test report by clicking on "Close".

    4. Setup Finished

    Setup is complete and you can now send and receive email. Click "Finish".

    5. Display Already Created Folders

    If you have already created folders in your mailbox, you may not see them yet. To do this, right-click on the newly created mailbox and select "IMAP folder...".

    In the "IMAP Folder" window, deselect the "Show only subscribed folders in Outlook Hierarchy Display" option at the bottom and click "OK".
